NEWS ~ OCTOBER 28, 2020

ANNUAL MEETING SUMMARY: The Annual Meeting of Regular Members was held in the parking lot on Saturday, October 24 at 2:00pm. Thanks to all members who attended. We believe this was a record setting meeting – over in less than one hour. There was nothing controversial on the agenda, so the meeting moved quickly. A special thank you to all of the volunteers for this meeting: Francie Godwin, Laurie Hutchens, Lee Lambert, Robert McIver, Steve Jeremias, Michael Gieschen, Brad Walls, Betty Jean Lanier, Helen Marie Romeo, Bob Morton, Anna Hughes, Brian Moore, and the 2019-2020 Board.

The membership approved the following changes to the Constitution:

  1. Article II, Section V – … if the person elected to fill the unexpired term shall have served less than one half (1/2) of said unexpired term, then that person shall not be limited by the provisions of Article I, Section 3 and may be elected to a full three year term immediately after the expiration of said unexpired term. If elected to a new three-year term, then thereafter all the provisions of Article I, Section 3 would apply to that person. …
  2. Article IV, Section 2- In the event of a State of Emergency, Governor’s Executive Order, or Force Majeure the meeting may be postponed or held in an alternate manner as determined by the Board.
  3. Article V, Section 3 – When Constitutional limits allow addition of members, preference will be given to children of current members.

The revised Constitution will be placed in the Quick Links Section of the website within the week.

The following Board Members were elected to one-year terms:

President – Jan Sheppard

Vice President – Elise Beall

Secretary/Treasurer – Brett Riggs

Cher Pridgen and Jake Wessell were elected to three-year terms on the Board of Directors.

The membership approved the Budget for the 2020-21 year. The budget will be placed on the website in the near future.

CLUB WEBSITE: Many of our members have not registered for our new website at www.hanoverseaside.club. This is a very robust site which will make your member experience so much better. You can click HERE to find instructions for registering. The primary member must register first, you must use a 7 digit member number, and names must be EXACTLY the way they are listed in our data base. Please read the instructions carefully. Call the office if you have problems registering.

605 S. LUMINA:  Work continues on the duplex at 605 S. Lumina. While we are a few days behind schedule, we feel that the project will be completed on time and on budget. The timeline states that we will be ready to rent the duplex on July 1; however, we hope to have it ready a little earlier. A committee has been appointed to help pick out fixtures, colors, furniture etc. We will continue to show pictures as we proceed.

FISCAL YEAR/BILLING: Our fiscal year ends on Saturday. If you have not done so, please check to make sure you do not have a balance due on your account. You may pay your balance online at www.hanoverseaside.club by logging in and clicking on STATEMENTS or by calling the Club office. As soon as the fiscal year has been closed out, we will be mailing bills for the member year that begins on November 1. Again, you can pay online, by calling the front desk, or by mailing a check to the PO Box. If your address has changed, call the office ASAP to give them your current mailing address.

2020-21 STANDING COMMITTEES: Within the next couple of weeks, the Board will be appointing members to serve on Standing Committees. Both Regular and Seasonal Members are encouraged to serve on committees. To volunteer, please call the Club Office and give your name and the preferred committee. The Committees along with their duties are listed HERE.

UPCOMING MENUS: For the month of November, dinner will be served on Friday evenings and lunch will be served on Sundays. There will be no Tuesday evening dinner. All meals must be paid for when you go through the serving line. Since bills have not been sent, dining room minimums are not available for use. We will not place meals on your account, so be prepared to pay by cash, check, or credit card! As always, you may order dine in or take out.

SURFBOARD SHELVES/STORAGE: The storage shed on the North side of the building contains shelves that are rented for surfboards. All surfboards MUST be kept on the assigned shelves – not lying on the ground or leaned against the wall. And, no other items, such as chairs, rafts, tubes, or toys are allowed in this unit. Presently, the storage unit is a mess! Everything but surfboards must be removed immediately, and surfboards must be placed on the properly rented shelf. If you have rented a shelf and your Board is too long to fit, please remove the Board from the locker. We do not have lockers longer than the shelves, so we cannot accommodate boards that will not fit. All boards not appropriately stored and other items in the storage locker will be disposed of on December 1.

STATEMENTS: Our fiscal year ends on October 31, so be sure to check your online statement and pay any outstanding balance by then. You can log in at www.hanoverseaside.club to view your statement and pay online. If you are unable to log in, just call the Club office at 910-256-2726 and they can check your balance and take payment.

ANNUAL MEETING: The Annual Meeting of Regular Members will be held in the parking lot on Saturday, October 24 at 2:00pm. The parking lot will be closed to anyone not attending the meeting from 2:00 until approximately. 4:00. The gravel lot will be available to seasonal members wishing to access the beach. Regular members, please remember to place a sheet of paper with your name and member number in on your driver’s side dash to facilitate check-in. Please call the Club office if you are available to volunteer to help in the parking lot for the meeting.

PARKING LOT RENTAL: The Waynick Blvd half of our parking lot is being rented to film a movie on Friday, October 23. The Lumina end of the lot and the gravel lot will be available for member use. If members want to walk to the sound, you will be able to do so – but you may have to wait and walk when filming is not in process.

SAILBOATS/KAYAKS: All sailboats and kayaks stored at the sound should be placed on the rack upside down. If they are placed right side up, water accumulates which is a perfect breeding ground for mosquitoes. Please make sure your boat is stored correctly. If you live out of town and pay for sailboat/kayak storage, please call a friend or family member to check your boats.

SUNDAY LUNCH IS BACK! We are now serving Sunday lunch along with dinner on Tuesdays and Fridays. Remember, you must call for reservations by the day before. You will state your entree preference when reservations are made. You can eat in or take out. Your Dining Room Minimum expires the end of October, so use it or lose it! The Snack Bar is closed for the year. We were pleased to hear so many compliments on the food quality and service this year. We are already planning to make next summer better than ever!

ANNUAL MEETING OF REGULAR MEMBERS: The latest Governor’s Executive Order continues to limit inside gatherings to 25; therefore, the Annual Meeting will be held in the parking lot – just like the August Special Called Meeting. The main parking lot will be closed on Saturday, October 24 from 12:00 – 4:00. Regular Members should have received their information for the meeting. If not, call the Club office. We are still in need of volunteers to help us check in members, count votes in the parking lot, and count secret ballot votes, Call the Club office if you can help us that day!

LOCKERS: Today is the deadline for cleaning out the small, square lockers in the snack bar area. Tomorrow, staff will start cutting locks and disposing of contents of lockers. We will start our painting project in the next few days.

605 S. LUMINA PROGRESS: If you have been to the Club lately, you have probably noticed that construction is underway on the duplex at 605. The pilings have been set and framing has begun. We are on schedule to complete the building and have renters in place around July 1. Anyone who has built a house knows how much goes into the construction end – choosing everything from flooring, to counter tops, to plumbing fixtures, and wall colors, etc. Add to that starting from scratch to purchase appliances, furniture, decor, kitchen essentials, and everything a renter will want. As you can tell, it’ a daunting task. Thankfully, we have help. Jan Sheppard, Armistead Boyd, and Ernie Alexander are coordinating with the builder and keeping construction on track. A subcommittee composed of Elise Beall, Nancy Noel May, Kim Edwards and Megan Beall are working with Jan, Armistead and Ernie to make decisions on interior/exterior colors, roof color, floor covering, furniture, etc. John Gray, owner of Custom Home Furnishings and Niche Decor and Gifts and HSC member, has volunteered his designers to help us. We are all excited about this project and look forward to watching it take shape. I will try to post pictures about once a month so that you can see what’s happening!

COVID UPDATE: Yesterday Governor Cooper announced that we will be moving to Phase 3 on Friday. At first glance it doesn’t appear that this move will change things for us at the Club. The Covid Committee will be meeting Sunday night. If there are any changes, we will let you know. We have been very lucky that we have been able to remain open thus far with no exposures. Please remain vigilant – wear your masks INSIDE AND OUTSIDE from Lumina Avenue to the beach strand, remain 6 feet apart, and wash your hands often.

ROOM AVAILABILITY: We still have rooms available for the fall. We are very flexible on move-in and out dates. You must reserve at least a two-night stay, otherwise we can work around your schedule if rooms are available. Call the Club Office for questions on reservations!

ANNUAL MEETING OF REGULAR MEMBERS: The mailing for the Annual Meeting will go out in the next few days. If you are a Regular Member and do not receive your letter by the end of next week, please contact the Club office. Each time we send a mailing, a few letters are returned because of incorrect addresses. It is very important that you contact the Club office if you have a change of mailing or e-mail address. We need to be able to contact our members to keep you informed!

We will need volunteers to help check members in, pass out and retrieve ballots, and work on teller committees. It takes a lot of people to make an Annual Meeting run smoothly. If you are a Regular Member who is planning to attend the meeting, please volunteer by calling the front office and putting your name on the volunteer list. If you have a specific job you would like to do, be sure to let them know.

It doesn’t seem possible, but another summer season is in the books. That does not mean that beach season is over! Often our most beautiful weather is in the fall.

SEPTEMBER HOURS:

Snack Bar ~ Saturday and Sunday, 11:00am – 3:00pm

First Floor ~ 7:00am – 8:00pm daily

Office ~ 9:00am – 5:00pm daily

Dinner ~ Tuesday and Friday, 6:30pm (Eat in or take out)

Remember, you must order your entree when making reservations. Reservations must be made the day before the meal. Dining room occupancy is still reduced due to Cobid-19; however, we can provide takeout meals for every meal. When you call for reservations, let them know if you will be eating in, or want a takeout.

ROOM RESERVATIONS: Rooms are available through the fall. Come for a couple of nights or stay a week. Call the Club office for reservations. There is a two-night minimum stay. We are flexible during the fall; we just must let a room set empty for 24 hours before a new resident moves in.

FALL CLEAN UP: All chairs, boogie boards, toys, and personal items must be removed from the first floor by October 1. All personal items found on the porches, snack bar area, chair racks, etc. on October 1 will be disposed of.

LOCKERS: Beginning on October 1, we will be painting the first-floor snack bar area, including lockers. We will have to open all the small, square lockers in the snack bar to paint. We need members to remove their locks, clean everything out of their lockers, and leave the doors open by October 1. We will let you know when the paint is dry, and you can access your lockers.

NOMINATIONS: The deadline for submitting nominations for Board officers and Board members is September 15. The form, with instructions, can be found on the website on the Quick Links page.

ADDRESS CORRECTIONS: Dues statements and information for the Annual Meeting will be going out in the next few weeks. If you have moved recently and not updated your mailing address, please call the Club office ASAP. We have a surprising number of mailings returned yearly due to incorrect addresses.

ANNUAL MEETING FOR REGULAR MEMBERS: Mark your calendars for Saturday, October 24 at 2:00 pm for the Annual Meeting for Regular Members. More information will be provided, but at this point it appears that we will be having a parking lot meeting similar to the August 1 meeting.

BOARD MEETINGS: The Board and many of our standing committees continue to meet via teleconference using the BlueJeans platform. The next Board Meeting is scheduled for Wednesday, September 16 at 6:00pm. Any member wishing to attend can contact the President, Jan Sheppard, to receive an invitation to log in. You may log in without downloading the app on a desktop or laptop computer. If you wish to use a mobile device such as phone or pad, you must first download the BlueJeans app.

NOMINATIONS: The Nominating Committee is in search of a Secretary-Treasurer for the 2020-21 year. The Secretary-Treasurer is responsible for recording minutes of Board and Regular Member Meetings as well as the mailouts to members. Other Board Members and staff can help with these tasks. The Club staff includes a part-time bookkeeper who is responsible for day-to-day financial operations. A part-time Controller is responsible for overseeing accounting and budgets. Below is the breakdown of responsibilities for the Controller and Treasurer.

COVID-19 UPDATE: Please keep in mind, we are still under Phase 2 of the Governor’s Executive Order which means masks must be worn inside and outside while on Club property between Lumina Avenue and the strand. This means that masks must be worn on all porches and the walkway to the beach, except when actively eating or drinking. Masks must also be worn at all times when inside the Club building except when at your table and actively eating in the dining room, or in your room with the door closed on the 3r floor.

DUES:  Keep in mind, annual dues are payable by November 1 each year. The Member Year changed to November 1-October 31 in 2019. Statements will be mailed out in early October.

ACCOUNT BALANCES: If you have used more than your dining room minimum either in the dining room or snack bar, you probably have a balance due on your account. Members who have registered for the hanoverseaside.club site can log on and view your statement and pay any balance online. If you have not registered, call the Club office and they can provide you with your information and take credit card payment by phone. All outstanding balances should be paid by the end of each month.

SNACK BAR: Regular Snack Bar hours are in effect through Labor Day. The Snack Bar will remain open on weekends from 11-2 through September. We have had rave reviews on the speed and quality of the snack bar this year.

NOMINATING COMMITTEE: The Board has selected the following Regular Members to serve on the nominating committee for 2020: Elise Beall, Chair, Jean Lawler, and Beverly Alexander. The Nominating Committee will be soliciting Regular Members to run for one- year terms for President, Vice President, and Secretary-Treasurer. They will also be choosing members to fill 2 three-year terms on the Board of Directors. Any Regular member may nominate themself for a Board position. Any member may nominate a Regular member for a position, but first please make sure you have their permission. The slate of nominees must be mailed to Regular members by September 24; therefore, we need nomination forms as quickly as possible with a September 15 deadline. Nomination forms are found on the Quick Links page of the website or you can click HERE. Instructions for submission are located on the bottom of the form.

MEMBERSHIP STATUS: There are several different categories of membership outlined in the HSC Constitution. To move from one category to another, you must meet the requirements listed below and complete a form found on the Quick Links page of the website. A recent check of our data base shows that we have quite a few members who are eligible to move into one of the categories listed. If you would like to apply for membership status change, please complete the form and mail it to the Club, or drop it at the front desk no later than October 1. If you know a member who meets the criteria but is not computer savvy, please share the information. They can call the Club office and a form will be mailed to them.

The member must meet the age requirement prior to November 1 in order to request a change.

A. A “Regular 70” member is a regular member with 30 or more years continuous membership in the Hanover Seaside Club and having reached the age of 70. Dues will be frozen at the amount in effect at the beginning of the year upon reaching eligibility. A “Regular 70” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (B) except they may not vote on matters concerning dues.

B. A “Seasonal 70” member is a seasonal member with 30 or more years continuous membership in the Hanover Seaside Club and having reached the age of 70. Dues will be frozen at the amount in effect at the beginning of the year upon reaching eligibility. A “Seasonal 70” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (C).

C. A “Regular 75” member is a regular member with 35 or more years continuous membership in the Hanover Seaside Club and having reached the age of 75. Dues for this member will be 1/2 of the frozen dues upon reaching eligibility. A “Regular 75” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (B) except they may not vote on matters concerning dues and will only have to pay 1/2 of any assessment.

D. A “Seasonal 75” member is a seasonal member with 35 or more years continuous membership in the Hanover Seaside Club and having reached the age of 75. Dues for this member will be 1/2 of the frozen dues upon reaching eligibility. A “Seasonal 75” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (C).

E. A “Regular Honorary Life” membership will be given to a regular member with 40 or more years continuous membership in the Hanover Seaside Club and having reached the age of 80. Dues for this member will be waived upon reaching eligibility and they will not be subject to assessment. A “Regular Honorary Life” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (B) except they may not vote on matters concerning dues or assessment.

F. A “Seasonal Honorary Life” membership will be given to a seasonal member with 40 or more years continuous membership in the Hanover Seaside Club and having reached the age of 80. Dues for this member will be waived upon reaching eligibility and they will not be subject to assessment. A “Seasonal Honorary Life” member will be entitled to all the rights and privileges outlined in Article V, Section 1 (C).

REGULAR MEMBERSHIP: If you have been a Seasonal Member for at least 5 years, you may apply to have your membership converted to Regular Member when spaces become available. Priority is given to those Seasonal Members who participate in Club activities, serve on committees, and volunteer for activities such as Hurricane Crew, workdays, decorating for holidays, etc. If you would like to apply for a change in status, complete the form found on the Quick Links page of the website and mail it to the Club or drop it at the front desk.

DINING ROOM MINIMUM: There are plenty of opportunities left to use your dining room minimum. You can order from the snack bar Tuesday through Sunday, or eat in the dining room Monday, Tuesday, Thursday, or Friday evening. Our tables are spaced apart to ensure social distancing; however, if you do not feel comfortable eating inside, you can have your dinner packaged for takeout. Dining room minimums expire on October 31 – so USE IT OR LOSE IT!

SNACK BAR: The Snack Bar is open Tuesday through Sunday through Labor Day. We did a quick survey on FaceBook asking if members were interested in keeping the Snack Bar open on weekends in September. The response was overwhelmingly YES! So, the snack Bar will be open from 11-2 on Saturdays and Sundays through September 27. If you have not eaten at the Snack Bar this year – you are missing out. The food is delicious, fast, hot, and very reasonably priced.

DINING ROOM OPERATIONS: For many years, the Board has worked with management to make our dining operations more financially viable. We are proud to announce that the Operations Committee working closely with our new Manager, Peter, and Food Services Manager, Garrett, have had success this summer. Even with the downturn in diners due to Covid-19, our dining room is making a profit! When you see Peter, Garrett, and the staff, be sure to thank them for their continued hard work. They are both doing an amazing job for us.

WE NEED YOUR HELP: Keeping the Club operating is a huge task. If you see something that is wearing or broken, please notify the front desk so we can get it fixed. Staff can’t be everywhere and see everything, so we need members to keep us informed. If you would like to suggest improvements, you can leave a note at the front desk and they will get the information to the appropriate committee. We are currently working on our 2020-21 Budget, so this is the time to provide input.

COVID-19 UPDATE: We continue under Phase 2 until after Labor Day; therefore, there are no changes in our Covid Rules at this time. Masks are still required inside and outside between Lumina Avenue and the beach, including the gravel lot, porches, and walkways. Please continue to follow the rules so that we can remain open for our members who want to enjoy the beach.

SCHOOL’S BACK IN SESSION: Now that school has started back, we are working with reduced staff – but the dining room and snack bar will remain open on normal schedule through Labor Day. When the parking lot is empty, as it is some afternoons this time of the year, the snack bar may close early. Our thoughts and prayers go out to our students and teachers returning to school for a very different school year. Be safe!

DINING ROOM/ THIRD FLOOR RENTALS: From now through the end of the season, few rooms are rented on the 3rd floor. This is a great time for renting rooms for a few days for an end-of-summer getaway. If you would like to come for a couple of nights, call the Club office for reservations. Don’t forget you can rent rooms during the off season, as well. September and October are often the most beautiful months of the year on the beach! Also, we have plenty of room in the dining room for members to make reservations for dinner. We have tables separated by at least 6 feet and our serving line protects you from exposure to other people. If you prefer, you can order take-out meals to take home, or eat on the porch, the deck, or the pier. There are lots of options for you to use, not lose, your dining room minimum.

FLOTILLA: Wrightsville Beach has announced that the Flotilla, held on Thanksgiving weekend, will be cancelled for 2020.

FALL AND HOLIDAY PARTIES: We do not know what the fall will bring when it comes to the Governor’s Executive Orders. During Phase 2, we can have no more than 10 people inside at an event/party, but we expect that number to increase if numbers of Covid infections decrease. In the past, quite a few members have hosted holiday parties at the Club. We hope to be able to book smaller parties this year. If you are interested in booking a holiday party, call the office and get your party on the calendar. You will have to sign a contract and pay a deposit. If the Executive Orders require us to cancel a party, the deposit will be refunded.

We Are Open!

THE CLUB IS OPEN!
We have resumed normal operations. A huge thank you to the Hurricane Crew and Staff for protecting our facility prior to Isaias, and to the staff for getting us back up and running so quickly after the hurricane passed. Our member Steve Jeremias volunteered his time in the searing heat yesterday to repair the damage to our pier. Thanks, Steve!
Be sure to call for dinner reservations. Menus were posted in the last blog. Also, remember you can use your Dining Room Minimum in the snackbar. Members who are using the online ordering function of our new website have been very pleased. You must register for the site at www.hanoverseaside.club to use online ordering. Directions are posted in the blog, were sent out to members,and are on Facebook.

NEWS ~ August 4, 2020
ISAIAS:
Hurricane Isaias surprised us a little with its intensity last night. Power is out at the Club, along with most of Wrightsville Beach. Because the beach was not closed, work crews are having a more difficult time getting through traffic to make repairs. We sustained minor damage at the Club and sound side. The Club is closed while power is restored and damage is assessed. We will notify members when the Club reopens. A big thanks to our staff and the Hurricane Crew who prepared the property on Sunday. Because they took this storm seriously, we had very few problems. The Hurricane Crew is chaired this year by Dan Dawson. At this time, I do not have a list of all who helped, but please know how much we all appreciate your hard work.
SPECIAL CALLED MEETING OF REGULAR MEMBERS:
The Special Called Meeting of Regular Members was held successfully in the parking lot on Saturday morning. It took a lot of hard work by a host of people to plan, organize, and run the meetnig. For the first time we structured a meeting this way, things went surprisingly well. Those present voted overwhelmingly to borrow up to $1.1 million, and to hire the contractor to begin construction of a duplex on the 605 S. Lumina property. The loan agreement has been signed and the builder anticipates breaking ground by September 1. The plan is to have our first renters next June or July. If you would like to see the plans for the duplex, click HERE. A huge thank you to the 605 S. Lumina Committee for doing a magnificent job. The committee is chaired by Board Member Armistead Boyd and includes Erny Alexander, Jake Wessell, John Cochrum, and Jim Cushing. We also need to thank our Covid Committee chaired by Ernie Alexander for helping us plan a meeting that met our Constitutional guidelines and the Governor’s Executive Orders. Ernie, President Jan Sheppard, and Board Members Elise Beall and Cher Pridgen did much of the work planning and organizing the meeting. We also appreciate our Saturday volunteers Noah Lambert, Lee Lambert, Peggy Russell, Jean Lawler, Eddie Wessell, Steve Lee, Henrietta Godwin, and Suzanne Harrell. I hate listing names of volunteers because I nearly always inadvertently leave someone out. If I did, please accept my apology and our thanks for assisting.
IT TAKES A VILLAGE:
I get a lot of positive feedback from members and thank you messages on Facebook. While I appreciate that, I am NOT the one who does the majority of the work at the HSC. You see my name because I am the one charged with communication, but it take a huge number of people to keep our Club running smoothly. The Board works very hard, along with numerous Standing Committees. This year we have needed even more help than usual because of hiring a new manager and dealing with Covid-19. One problem we have is that many times we put out a call for help, and few members respond. And it’s often the same members who volunteer over and over. Please remember, this is YOUR club and summer home. When we ask for volunteers, consider donating a few hours of your time here and there. The more we accomplish with volunteers, the less chance there is of a dues increase.
REGULAR MEMBERSHIP:
If you have been a Seasonal Member for at least 5 years and would like to become a Regular Member, there is an application form that you can complete. The application can be found HERE. When we have openings for Regular Members, we look for Seasonal Members who give back to the Club. Some things you can do to increase your chances of being chosen is to serve on Standing Committees, work on the Hurricane Crew, help with decorating for holidays and special events, come to Work Days, etc. We also want members who will attend the Annual and Special Called meetings and vote! We never know when we will have slots open for Regular Members, so get your application in so it will be ready when the time comes.
UPCOMINIG MENUS:
We are not exactly sure when meal service will resume, so be sure to call the Club for reservations early. Remember, you can use your Dining Room Minimum for take-out dinners. Just let the office know when you call that you want take-out and they can help. Also, you will let them know which entree you prefer.
