Happy 126th Birthday to the Hanover Seaside Club on Monday, March 18!

ANNUAL DUES: We still have quite a few members who have not paid the current year’s dues. Our Constitution states that any member failing to pay dues by January 31 of each year shall automatically be suspended and shall be denied the privileges of membership until dues are paid. This means you may not come to the Club, rent room, eat meals, attend events, etc. To see if you have a balance, log into www.hanoverseaside.club with your username and password. Using the pull-down menu click on Member Central, then click on Statements. You can pay online, call the Club office Monday-Friday from 9-3, or mail your check to the Club PO Box.

WORK DAY: Please mark your calendar now for the Spring Work Day. We need workers on Saturday, April 27 beginning at 10:00am. This work day gets our property in great shape to start the season. The more the merrier – and the earlier our work will be complete. The rain date is May 4 at 10:00am.

3RD FLOOR RENTALS: The air conditioning/heating project on the 3rd floor is complete and rooms are ready to rent. If you would like to enjoy a few days at the Club during the spring, call the Club office at 910-256-2726 to make reservations. There is a 2 night minimum stay. Remember you must supply your own sheets (queen size) pillows, towels, etc.

EASTER RESERVATIONS: Don’t forget to call the Club office to make your reservations for the Easter Egg Hunt and Easter Buffet. Deadline to make reservations is Wednesday, March 27 at noon. The Sunday buffet – both seatings – are over half full, so don’t procrastinate. More information can be found on the blog on the website.

All of our 2024 merchandise has arrived! We have new beautifully colored tees (crew and v-neck) for adults and children, HSC mugs, cups with lids and straws, and coozies. Our branded merchandise would make excellent Easter gifts. Stop by the Club during office hours (M-F, 9-3) to make your purchase. If you would like to reserve mugs, call the office and have the total charged to your account. The mugs will be held in the office until you can pick them up. We still have a few ladies cut tees on sale for $5! Remember, these run very small so remember to size up 2 sizes.

If you pre-ordered polo shirts, don’t forget to stop by the office to pick them up!

BOARD MEETING: The next meeting of the Board will be Wednesday, February 28 at 5:30PM in the dining room at the Club. All members, both Regural and Seasonal, are invited to attend. If you would like to speak to the Board, contact Dan Harris in advance to be placed on the agenda.

CLUB UPDATE: New heating and air conditioning units are being placed in all rooms on the 3rd floor and in the manager’s appartment. This project is coming to an end. Once the contractors complete their work, the rooms will be deep cleaned and made readyfor rental. We will let you know when off season rentals can begin.

605 S. LUMINA UPDATE: A huge thank you to our Decorating Committee (Ernie Alexander, Nancy Noel, Kim Edwards, and Elise Beall) for doing an in-depth walk through of our duplex and determining what needed to be repaired and/or replaced before the busy rental season begins. We were pleasantly surprised to learn that after three years of rental, the units are in great shape. All of the items that needed replacing have been purchased and placed in the units. We have sporadic off season rentals, so we want everything in prime condition for our tenants. All of the comments on our rental have been very positive. We can all be proud of our property.

ROOM RENTAL REQUESTS: In one short week it will be time to mail summer rental requests. Please be sure to go to the Quick Links page to read the Information sheet, download your forms, and mail them to the PO Box. Also, we have updated the Meal Information sheet for this summer. We will not be serving Sunday lunch every week this summer. For this year, we are offering Sunday Lunch several times during the season – dates are on the Meal Information sheet on the Quicklinks page. As with all meals, if you are renting a room on the 3rd floor, you will be required to pay for Sunday lunch if it served. A full breakfast will be served every day with dinner served on Monday, Tuesday, Thursday, and Friday.

TEES: Our new Club tees will be arriving before Easter. We will have several colors in the crew neck style and one color in a V-neck style. This years tees will be a slightly heavier triblend – so still sofy and comfy, but a tad bit thicker. The good news ~ prices on adult tees are coming down! We also ordered polos for those who preordered.

HSC MUGS:  At a member’s request, we asked on Facebook who would be interested in purchasing mugs. The response was very positive. We are ordering a limited supply, and will only order these mugs once this year. When they arrive, they will be first come, first serve. Mugs will be $15. Sorry, we will not offer shipping for these mugs

NOTE: The office will be closed from February 2-11. When the office opens on February 12, all messages will be returned as quickly as possible. Any dues payments sent by mail will be processed when the office reopens.

There are a few seats left for the Valentines Dinner. To make a reservation, leave a message on the office answering machine. Someone will return your call to confirm your reservation.

SUMMER ROOM RENTALS

ROOM RESERVATIONS: Although winter is still going strong, it’s time to start thinking about summer room rentals. Members can mail requests beginning on Monday, March 4. Family/Guest requests can be mailed beginning on Monday, March 11. The updated Room Reservation Information Form and Room Reservation Form are both on the website. Be sure to read the information page carefully prior to completing your form. Go to www.hanoverseaside.club and click on Quick Links to print the forms. Room information is near the top of the page. Summer 2024 rates and current meal pricing can also be found on the Quick Links page.

A few hints for making reservations:

1.      Residents must supply their own sheets, towels, AND pillows. Mattress pads are laundered weekly.

2.   If you want to request 2 weeks, you must complete 2 forms. Be sure to note if the weeks must be consecutive.

3.   If you want to request 2 rooms for the same week, you must complete 2 forms.

4.     Forms MUST be mailed to the PO Box. You may NOT drop them by the office. The postmark is used when assigning rooms, so mail your forms on the first day possible to give you the greatest chance of getting a room.

5.   All dues and any other outstanding fees must be paid in full prior to requesting a room. If there is any balance on an account, requests will not be considered.

6.     If you want to request a room for a guest or want to stay with other family/friends that will need several rooms, your best chance of getting your request is to schedule it in very early June, or after the first week in August. Between mid-June and the first week of August, nearly all weeks are filled by members, and some weeks have a substantial waiting list.

7.     Check in time is 4:00pm on Saturday. Check out time is 10:00am on the following Saturday.

8.    The Room Assignment Committee works extremely hard to try to fairly assign rooms. It is very difficult when we have 25+ requests for 14 rooms. It is always helpful when members provide an alternate week. By providing an alternate week, you have a much better chance of having your request granted.

9.     You may NOT request a room under your membership but allow a non-member to occupy the room without you. For example, you cannot rent a room and give it to your adult child who is not a member. They can stay in the room WITH you – but you must occupy the room you reserve.

10. Room assignments are based on the number of people sharing a room and the need for a full bath. There are only 2 large rooms (3 beds) and 3 rooms with full baths. The committee tries to be fair and meet the needs of our members. The same families will not receive rooms with full baths every year if others request the same rooms. Be sure to state the names and ages of ALL members and guests who will occupy a room to make our jobs easier. Also, those who are handicapped or require a walk-in shower are given priority for room 14. Be sure to state on your form if you NEED room 14.

11.  Members ALWAYS receive priority over guests when scheduling rooms.

12. Bills will be e-mailed by April 5 and all rooms must be paid by May 3.

13. All room bills must be paid by the member requesting the room. If you are reserving a room for a guest, you must pay the bill and be reimbursed by your guest.

14. If you reserve and pay for your room and need to cancel, you will receive a refund if the room can be re-rented. If there is an emergency situation, you can petition the Board for a refund.

15. Upon check out, you will be provided with an itemized statement. You have 14 days to request a review of your statement. After 14 days, no changes can be made.

Statements!

Statements are being e-mailed to all members. Some have already received them – others will come in the next few days. Patrick Fisher, our bookkeper, sends out the statements, so the e-mail address you see will be Patrick Fisher Accounting. If you click on the name, you will see the address is bookkeeper@hanoverseaside.com. This is not junk or spam, so don’t delete the message. The attachment is your Hanover Seaside Statement that includes dues, dining room minimum and locker fees. Be sure to check your spam folder. If you deleted it before seeing this message, you will be able to retrieve it and place it back in your in folder. Dues are payable by January 31, 2024. You can pay online by going to our website. You must be registered to pay online. You can also send a check to our PO Box or call the office during office hours to pay by credit card. Hours were listed in the last blog post. If you do not receive your statement in the next few days, call the Club office.

Update from the President, Dan Harris

Hello HSC members. I would like to take this opportunity to say that I am very excited to be your president and I look forward to a great year.

I just wanted to give members a quick update. The transition of the new Board has been a challenge, to say the least. All three officers and four of the six Board members are new this year. There has been very little guidance, but we are working on a transitional period for future elections to prevent this from being so difficult. This club means a lot to all of us, and we need to be willing to help each other out in order for the Club to function properly. Lee Pearson stepped down from the Board and the new Board elected Maria Stasios to take over his last year. I do believe that we have a great Board for this year. We met in November anddiscussed the previous year’s unresolved issues. We are now focused on the new year at hand.

The Board is working on completing the budget and plan to work together with the Finance Committee to come up with a simpler financial statement to hand out to the members for the annual meeting. I feel like those without an accounting/bookkeeper background really struggle to understand what we currently provide. We have a very detailed financial report which is necessary for tax purposes, but for general membership it is quite difficult to understand.

Lastly, please thank the previous Board members when you see them – especially Jan Sheppard. She dedicated an enormous amount of time to our Club for 5+ years. We should all be very thankful and appreciative of their hard work.

I look forward to serving you all and my family and I would like to wish each one of you a very Merry Christmas and a Happy New Year. Be thankful for the birth of our Lord and Savior and rejoice together!

Dick Slack  Our love and prayers to the family of Dick Slack who passed away on Sunday, December 10. We are thinking of Maclyn and her sons during this difficult time. You can view his obituary HERE.

Tom Sheets When I mentioned the passing of Tom Sheets in the last newsletter, I failed to mention the names of some of his family who are members of the Club. My apologies to his wife, Elizabeth, and daughter, Felicia, and their families who are members of the Club. Our thoughts and prayers are with them.

COOKIES WITH SANTA!  The last event of this year is Cookies with Santa which will be held Saturday, December 14 at 10:00am. Please bring a wrapped gift with your child’s name on for Santa to give to your child. This is always a fun event for children and parents alike. Hope you can be there!

DUES STATEMENTS  Dues statements are going out a little later than usual this year. Be prepared! Dues are due by the end of January. Dues and dining room minimums did not change this year, so your statement will be the same as last year. You should get your statement aroung the first of the year.

CLUB HOURS  The Club will be closed several days during the holidays. Also, the 2nd and 3rd floors will be closed during January so that necessary repairs can be made. The first floor will accessible to members who have a code for the front door. If you need the code, call the office.If you need to visit the office when it is open, call and someone can help. Bathrooms on the first floor will be open until weather dictates that they must be winterized.

After December 16, the office will be open the folowing days/times ONLY:

December 18, 19, 27, and 28 from 9:00-3:00.

January office hours: 9:00-3:00 on the following days:

January 2-5, 8-11, 16-19, 22-26, and 29-Feb 1. If you have questions, call the office during office hours for assistance. If there is no answer, leave a message and someone will return your call.

The office will be closed February 2-11.

During February, the 2nd floor will be open when the office is open. A schedule will be provide in January. The 3rd floor will remain closed during February.

News – December 8, 2023

Staff Christmas Gift – After an extremely busy summer season, our staff has been working incredibly hard this fall. Between Thanksgiving and Christmas the staff prepared a scrumptious Thanksgiving buffet as well as chili on the pier for the Flotilla, will set up and cater 14 holiday parties, the member Christmas party and cookies with Santa. Please help us thank our staff by making a donation to the staff gift. You can drop your donation off at the office, or mail it to PO Box 434, Wrightsville Beach, NC, 28480. Make the check out to Hanover Seaside Club and put Staff Christmas Gift in the memo secion. We need your contribution by Wednesday, December 13!

Adult Christmas Party – Saturday, December 9 at 6:00pm. This is a members only event. A few adult beverages will be available as well as BYO Holiday Spirits.

Cookies with Santa – Santa is coming to the Hanover Seaside Club on Saturday, December 16 at 10:00am. Please RSVP as quickly as possible by calling the front office. Bring a wrapped present to your child from Santa.

Tom Sheets – Our love and prayers go out to the family of long time Club member Tom Sheets who passed away on November 12. Tom is the father of Stephanie Carter. You can view his obituary here.

We would like to thank all of the members who came out to help decorate our Club for the holiday season. They did a wonderful job. We cannot mention all of the members by name, or show pictures of them, but it took a lot of volunteers to make our Club look so festive.

We wish all of our members a very Happy Holiday! We look forward to a great 2024!

Annual Meeting Notes: The Annual Meeting was held at the Club on Saturday, October 21. Officers and Board Members were elected.

President: Dan Harris

Vice-President: Armistead Boyd

Secretary/Treasurer: Laura Earnhart

1 Year Board Term: Clark Whitman

3 Year Board Terms: Lee Lambert and Hank Carter

Those present voted to keep the age for joining the Club at 26 or upon marriage, whichever comes first. They also voted not to increase the membership limit at this time. Initiation fees and dues will remain at the current level for this year.

Membership Facts: Only membership applications from children and grandchildren of current members are being accepted at this time. We continue to have a tremendous backlog of applications that we must process before accepting more. Please do not turn in membership applications for friends and family who do not meet this criteria. At the current time, we cannot accept members other than sons/daughters who apply before their 26th birthday or marriage. As per our Constitution, when Constitutional limits allow addition of members, preference will be given to children of current members.

If you turn 70, 75, or 80 and have been a member for the requisite number of years before November 1, you are eligible to change your membership status. Please complete the Application to Change Membership Status which is located on the Quick Links page of the website and return it to the office ASAP. We need to change membership status before dues bills are sent.

Committees: One of the first duties of the new Board is to appoint members to serve on Standing Committees. If you would like to serve, please call the office and give them your name and your committee preference. Committees include:

Finance

Facilities

Operations/Management

House

Social Activities

Duties of each committee are located on the Quick Links page of the website under Policies/Standing Committees. We urge both Regular and Seasonal members to volunteer. We accept Seasonal members on most committees.

Meetings and Parties: Now is the time to schedule meetings and parties for the next few months. We have a beautiful venue that includes a smart TV and drop-down screen and projector. Call the Club office for more details.

Upcoming Menus: These are the last meals for which you can use your dining room minimum! Call the office today for reservations.

Short Sleeved Tees are on Sale: Take 25% off the price of any short sleeved tees in stock. These would make amazing Christmas gifts. Check in with the office for sizes/colors available.

Account Balances: The end of our fiscal year is Tuesday, October 31. All balances on accounts should be paid by that date. Either pay online or call the Club office and they can help.
