💳 Dues & Account Balances

It’s that time of year again! Our fiscal year began November 1, and we’re working to make sure everyone’s accounts are up to date. Annual dues are due by January 31, so now’s the perfect time to check your balance and take care of any payments. Here’s what you need to know:

  • Dues statements were emailed in December. Didn’t receive yours?
    • Check your spam folder
    • Confirm your email in your member account
    • Prefer paper statements? Contact the office
  • Important Deadlines
    • Annual dues are due by January 31, 2026
    • Starting February 1, a $150 late payment fee will be applied to accounts with unpaid dues (per the new late payment policy shared at the annual meeting)

To keep our spaces fresh and ready for the season, please note upcoming maintenance and access information:

🛏 Off-Season Room Rentals

Beginning February 12, the upstairs rooms will be available for rent.

📌 Important: USPS Postmark Changes & Room Reservations

You may have seen recent updates about how the USPS is handling postmarks—and this could impact your HSC room reservation. The committee uses postmarks when assigning rooms, so here’s what you need to do:

  • Take your reservation inside the post office
  • Ask for a hand-stamped postmark

It only takes a few extra minutes, and it ensures your reservation is properly dated—much better than explaining to your family why you didn’t get a room!

Annual Meeting Highlights

The Annual Meeting for Regular Members took place on Saturday, October 18 at the Club. During the meeting, the following officers were elected to serve one-year terms:

  • President: Dan Harris
  • Vice President: Joe Browning
  • Secretary: Valrie Horton
  • Treasurer: Laura Earnhart

Additionally, Eleanor Thorne was elected to the Board of Directors for a three-year term.

Members approved one change to the Constitution:

  • Section 3 was added to Article IV – Miscellaneous, stating that email is now an acceptable method for membership communication and formal distribution of information. Each member must keep a valid email address on file and update their contact information as needed.
  • Members may opt out of email communication and continue receiving updates via U.S. Postal Service. Annual meeting mailings will still be sent by mail.
  • The revised Constitution will be posted on the website under Quick Links within the next few weeks.

Save the Date: The next Annual Meeting is scheduled for Saturday, October 24, 2026, at 10:00 AM in the Club dining room. This date differs from what was discussed at the recent meeting due to a scheduling conflict with the Ironman Triathlon.

We’re still looking for volunteers to serve on several of our standing committees. Most committees include both Regular and Seasonal Members, so it’s a great way to get involved and connect with others.

Keeping your contact information current is essential for staying informed. Under the recently updated Constitution, email is now an official method for membership communication and formal notices.

If you’ve moved or changed your phone number or email address, please update your information promptly:

  • Call the office to provide your correct details, or
  • Log in to your account at https://hanoverseaside.club and visit the Member Central section to make changes.

Members who prefer not to receive email communications may opt out and continue to receive updates by U.S. Postal Service. Annual meeting mailings will still be sent by mail.

If you’re having trouble setting up your website account or accessing your statement, just give the office a call. They’ll walk you through the process and make sure everything is set up correctly.)

  • Credit Card Fee: A 3% processing fee will apply to all credit card payments.
  • Late Fee: A $150 late payment fee will be added to accounts with unpaid dues as of February 1, 2026.

The holiday season is the perfect time to thank our incredible staff for all they do to make the Club a wonderful place. In lieu of traditional bonuses, we come together as members to provide a special Christmas gift as a token of appreciation. Your contribution helps us show how much we value their hard work and dedication throughout the year.

Our staff goes above and beyond—not only during the busy summer months, but also for special occasions and private parties. They keep the Club looking its best and deliver delicious meals and snack bar favorites with care. The best way to say thank you is to contribute to their Christmas gift.

As the season winds down, don’t miss your last chances to gather with fellow members over two delicious meals in the dining room. These are the final off-season dining events — let’s end the season on a high note!

Hanover Seaside Club Notecards & Print Available for Purchase

Longtime member Debby Allen is offering beautifully crafted notecards and an 8×10 print featuring a watercolor illustration of the Hanover Seaside Club.

  • Notecards: Printed on museum-quality paper, each box includes 10 cards with a watercolor image of the Club on the front and a blank interior.
  • Price: $25 per box
  • 8×10 Print: A stunning standalone piece, perfect for framing.

The notecards and print will be available for viewing and purchase at the Annual Meeting & Oyster Roast on October 18, 2025, in the merchandise cabinet in the front foyer.

Payments may be made in the main office anytime before March 1, 2026.

  • Building Access: The 2nd floor doors will be locked after 6 PM unless a dinner or event is scheduled.
  • Snack Bar Access: Call the office if you need the code after hours.
  • Room Reservations: Interested in reserving a room upstairs this off-season? Call the office to check availability. A 2-night minimum applies.
  • Paying Account Balances: You can pay by phone, mail a check, or pay online. Need help logging into the website? Call the office!

Join us for Friday Dinners and Sunday Lunches in the dining hall this fall, featuring rotating menus every other week. Make your reservations now and enjoy delicious meals with fellow members.

Important Dates:

  • The last meal of the season will be served on Sunday, October 26.
  • This is also your final opportunity to use your dining room minimum before it expires on October 31.
  • The Club’s new fiscal year begins November 1.

Wristband Compliance & Security Update

To help maintain a safe and welcoming environment for all members and guests, new guidance regarding wristband compliance and handling non-members has been sent out. For full details, please see the July 25 blog post.

Key Reminders:

  • Wristbands are required for all members and guests while on club property.
  • A private security officer is now stationed at the front gate daily from 9:00 AM to 6:00 PM. Wristbands must be shown to enter.
  • Guest wristbands are available at the parking lot station or Club Office during these hours.

If you see someone without a wristband:

  • Do not approach or confront them.
  • Instead, notify the Club Office at 910-256-2726 or speak with a staff member.

The Board is also reviewing additional security measures to further support member safety. Thank you for your cooperation!

If you’re celebrating one of these milestone birthdays and have the required years of membership, you may be eligible to move to a new membership status!

Here’s what to know:

  • The Membership Status Change Form is available under Quick Links on the Club website.
  • Even if you previously selected the option to automatically move to the next status, a new form must be completed for each change.
  • Our current system does not automatically update membership status based on age.
