OUTSTANDING BALANCES: Please remember that annual dues were due on January 31, 2023. There are a few members that have not paid their dues or have outstanding balances from rooms or meals. Please check your balance online through the Quick Links tab on www.hanoverseaside.club, login to your account (at top right), click on Member Central and then Statements or call the office if you have questions. Anyone with a balance will not be able to make a room reservation or receive a parking sticker.

ROOM RESERVATIONS: It’s almost time to send in your reservation requests for the summer season. Members can mail requests beginning on Monday, March 6. Family/Guest requests can be mailed beginning on Monday, March 13. The updated Room Reservation Information Form and Room Reservation Form are both on the website. Be sure to read the information page carefully prior to completing your form. Go to www.hanoverseaside.club and click on Quick Links to print the forms. Room information is near the top of the page.

A few hints for making reservations:

1.      Residents must supply their own sheets, towels, AND pillows. Mattress pads are laundered weekly.

2.   If you want to request 2 weeks, you must complete 2 forms. Be sure to note if the weeks must be consecutive.

3.   If you want to request 2 rooms for the same week, you must complete 2 forms.

4.     Forms MUST be mailed to the PO Box. You may NOT drop them by the office. The postmark is used when assigning rooms, so mail your forms on the first day possible to give you the greatest chance of getting a room.

5.   All dues and any other outstanding fees must be paid in full prior to requesting a room. If there is any balance on an account, requests will not be considered.

6.     If you want to request a room for a guest or want to stay with other family/friends that will need several rooms, your best chance of getting your request is to schedule it in very early June, or after the first week in August. Between mid-June and the first week of August, nearly all weeks are filled, and some weeks have a substantial waiting list.

7.     Check in time is 4:00pm on Saturday. Check out time is 10:00am on the following Saturday.

8.    The Room Assignment Committee works extremely hard to try to fairly assign rooms. It is very difficult when we have 25+ requests for 14 rooms. It is always helpful when members provide an alternate week. By providing an alternate week, you have a much better chance of having your request granted.

9.     You may NOT request a room under your membership but allow a non-member to occupy the room without you. For example, you cannot rent a room and give it to your adult child who is not a member. They can stay in the room WITH you – but you must occupy the room you reserve.

10. Room assignments are based on the number of people sharing a room and the need for a full bath. There are only 2 large rooms (3 beds) and 3 rooms with full baths. The committee tries to be fair and meet the needs of our members. The same families will not receive rooms with full baths every year if others request the same rooms. Be sure to state the names and ages of ALL members and guests who will occupy a room to make our jobs easier. Also, those who are handicapped or require a walk-in shower are given priority for room 14. Be sure to state on your form if you NEED room 14.

11.  Members ALWAYS receive priority over guests when scheduling rooms.

12. Bills will be e-mailed by April 7 and all rooms must be paid by May 5.

13. All room bills must be paid by the member requesting the room. If you are reserving a room for a guest, you must pay the bill and be reimbursed by your guest.

14. If you reserve and pay for your room and need to cancel, you will receive a refund if the room can be re-rented. If there is an emergency situation, you can petition the Board for a refund.

15. Upon check out, you will be provided with an itemized statement. You have 14 days to request a review of your statement. After 14 days, no changes can be made.

SALE: All ladies cut tees from 2022 are on clearance sale for $8 each. When purchasing these tees, be sure to size up about 2 sizes. The tees are cut very small. So, if you normally wear a medium, purchase an extra-large. Smalls will fit women who wear a 0-2 or youth XL. Tees are available in aqua and berry. Also on clearance for $8 are child and youth sizes. We only have a few of them left. Inventory is listed below. Adult unisex sizes are not included in this sale.

Happy New Year! We hope you had a joyous holiday season!

DUES: Dues must be paid by January 31, 2023. Our Constitution states that members lose all benefits of membership if dues are not paid on time. You can pay online at www.hanoverseaside.club. Log in and click on Statement under Member Central. If you cannot log in, you may mail your check to the PO Box or call the office to pay over the phone. The office is open M-F 9:00-3:00.

ROOM RESERVATIONS: Room Reservation information will be on the website under Quick Links by February 1. Please read the information letter carefully as there have been changes for the upcoming year. Reservation requests will begin in March.

BOARD MEETING: The Board will meet on Monday, January 23 at 6:00pm at the Club. All members, Regular and Seasonal, are encouraged to attend.

NEWS ~ DECEMBER 11, 2022

Yes, I am still here. Nearly a month after my supposed retirement, I continue to communicate with our members. But this is probably my last newsletter. The Board has found someone to take care of the Constant Contact portion of communication. Jan will handle the website/blog. Brad Walls will be in charge of Face Book communications. So, it’s taking 3 people to replace me 🙂 I will be helping them until they learn all of the ins and outs of three separate platforms. Please be gentle with them while they learn. Remember, we added programs slowly over the years, so I didn’t have to learn it all at once. Good thing! Luckily this is a slow time in terms of meals, events, reservations, etc. If you have questions, simply call the Club office. If there is no answer, leave a message. Someone will return your call.

STAFF CHRISTMAS GIFT! Time is running out to contribulte to the staff Christmas gift. Our staff has gone above and beyone to make sure that members have a pleasant experience every time they visit. Friday, December 16 is the final day to make your contribution. You can place a check in the suggestion box just inside the front door, or mail a check to our PO Box. Be sure to note Staff gift in the memo section of your check.

BOARD MEETING: During the Covid pandemic, Board meetings were held using a Zoom type program. As the number of cases decreased, some members met at the Club while others met online. Now that those who want to be have been vaccinated, the number of cases is lower, and the newer variants are not as serious, Board meetings are once again held at the Club. All members, Regular and Seasonal, are encouraged to attend Board meetings. The December meeting will be held December 19 at 6:00 at the Club. If you would like to address the Board, you must contact Jan Sheppard prior to the meeting to be placed on the agenda.

DUES STATEMENTS: Statements were mailed over a week ago. If you have not received your statement, please call the office ASAP. It could be that we do not have your correct address in our data base. This year we made an effort to include locker fees on your dues statement. Our data base of lockers was incomplete; therefore, you may not have been billed for your locker. If not, call the office. Let them know your locker number and they can handle it. Dues are due no later than January 31. According to our Constitution, any member failing to pay dues by the deadline will be automatically suspended and denied the privileges of membership until dues are paid.

CHRISTMAS UNDECORATING: What goes up must come down! We need volunteers to help take down and store the Christmas decor on December 27 at 10:00am. When members volunteer to help, it reduces our staff payroll which helps to keep our expenses in line. We realize that this is a work day, but would appreciate all who can come lend a hand.

CHRISTMAS CLOSING: The Club will close for the Christmas break on December 23. All doors will be locked and the office will be closed until the new year. The schedule for the winter months will be announced at a later time.

CHRISTMAS PARTIES: We had a great turnout for both of our Christmas parties. The Club was decorated beautifully and the food was delicious. Thanks to the Social Committee for doing such an outstanding job on these events – and all of the events this year. It has been so nice to be able to socialize with our Club friends again! The Social Committee has given us many opportunities to get together and have fun.

ANNUAL MEETING: The Annual Meeting of Regular Members was held on Saturday, October 22 at 2:00 at the Club. The membership voted to increase dues for the coming year by $50 per membership. The cost of operating our Club has increased substantially across the board. The increase is necessary to help us balance our budget. New officers were elected for the 2022-23 membership year. They are:

President: Jan Sheppard

Vice President: Brad Walls

Secretary-Treasurer: Peggy Russell

Board Members: Cher Pridgen, Jake Wessell, Lee Bugalski, Lee Pearson, Joe Browning, and Steve Jeremias.

STAFF CHRISTMAS GIFTS: We have gotten rave reviews on our staff this year. They have gone above and beyond the call of duty to provide exemplary service. The staff has kept our facility clean, served our meals, run up and down the stairs a multitude of times to deliver snack bar food, and assisted with private parties and Club events. All of this, plus many other duties not known or seen by the members, are accomplished in a friendly and professional manner. If you would like to help make our staffs’ holidays merry, you may contribute to a staff Christmas gift. Checks can be given to the front desk attendant (please place it in an envelope with Christmas gift written on the front) or place it in the suggestion box inside the front door. You can also mail a check to the PO Box. Make the check out to Hanover Seaside Club and place Christmas gift in the memo section. Please make your contributions by Wednesday, December 16 at 5:00. The total received will be divided among currently employed full and part-time staff using a ratio provided by the Operations Committee.

Saturday, December 10 at 10am ~ Cookies with Santa. Please RSVP by calling the Club office so that we have plenty of cookies for the children (and mom and dad!).Please bring a wrapped gift with your child’s name on it for Santa to give out.

When I was elected to the Board for the second time in 2011, I had several goals I wanted to accomplish.  The most important was to improve communication between the Board and the membership.  Our website (blog) went live in August 2011.  Over the past 11 years I have posted 525 articles on our blog!  We later added Constant Contact and Facebook to better communicate with members, so blog posts are shared in several ways. While I have enjoyed my tenure as head of Communications, the time has come to move on and allow someone else the opportunity to do this job.  I have resigned my position effective November 15.  Hopefully, by then, someone will volunteer to take over. I will gladly help train my replacement at my home! Information for post content will be provided. If you have basic knowledge of Word Press, FTP, e-mail programs, and Facebook and would like to volunteer, please contact Jan Sheppard.  I will gladly help train my replacement!

Menus:  If you are unable to eat fried foods, our Chef can often make alterations to fit your dietary needs.  For example, on seafood night he can grill shrimp instead of frying.  Please make special needs known when you make your reservations.

ANNUAL MEETING/COMMITTEES:  The Annual Meeting is this Saturday,  October 22 at 2:00PM.  All Regular Members should plan to attend.  We will be electing officers and approving a budget for the next fiscal year.  When the new Board takes over (immediately after the meeting), new Committees will be put in place. Our Standing Committees are a very important part of our Club operation.  They allow members, Regular and Seasonal, to take part and help spread the work among more people.  We need members to volunteer to work on the following committees:

Governance Committee ~ Reviews the Constitution annually and    recommends Constitutional changes to the Board. They also establish, implement and maintain a process for the orderly publication of policies of the Club.

Finance Committee ~ Reviews monthly financial report and provides general financial oversight. The also review the insurance policies annually, prepare the annual budget to submit to the Board, and review tax reports and audits as necessary.

Facilities Committee ~ Inspects the property for needed repairs and prepares a yearly budget for property and equipment maintenance.  They develop a short-term (0-3 years) and a long term (4-10 years) maintenance plan, monitor utilities usage, and develop and maintain a hurricane preparedness plan.

Operations/Management Committee ~ Consults with and supervises the General Manager as well as developing job descriptions and pre-employment screening procedures for all employees.  The Committee coordinates with the Club Bookkeeper with regards to Operations and Management Committee duties, evaluate the Club Manager annually, evaluates the Bookkeeper annually with regards to Operations and Management Committee duties, and recommends employee compensation adjustments to the Board.  They also consult with the General Manager and review food service and guest room operations and management procedures, policies and financials, evaluate food service offerings, prices and room rates annually, and recommend proposed changes to the Board for approval.  This committee provides general Club Operations and Management leadership as required and improves communications between the Board and the Membership by preparing periodic newsletters for the website and overseeing the Club website.

House Committee ~ Reviews and revises the room reservation process and room reservation form annually and assigns rooms following receipt of room reservation forms.  They also review General Rules annually and contact members who do not comply with rules. This committee determines methods to and prepares a budget for beautifying the inside of the Club building, as well as plans and budgets for renovation and any substantive changes of décor.

Social Activities Committee ~  Prepares an annual budget for Club Activities, coordinates with Club Manager to plan social activities including but not limited to Bingo, Beginning/End of Season events, 4th of July Celebration, Flotilla, Christmas Party, New Year’s Eve and Valentine’s. They also work with Club staff to decorate club for special and seasonal events.

ANNUAL MEETING: All Regular Members should have received information concerning the Annual Meeting which will be held on Saturday, October 22 at 2:00pm at the Club.  If you did not receive your mailing, please call the Club office.  We hope all Regular Members will make plans to attend this important meeting.

HOODIES AND LONG SLEEVED TEES: If you placed a pre-order, please pick up your long sleeved tees and/or hoodies as quickly as possible.  We do not have space to store your orders.

STATEMENTS:  Please pay any balance due on your statement as quickly as possible.  We are trying to collect all balances due before closing out our fiscal year.  You may pay online by loggin into the website and clicking on Statement.  Or, you can call the Club office to pay by card.  You may also mail a check to the PO Box.

MEAL PRICES:  If you have gone to the grocery store lately, you have noticed that food prices have gone up significantly since the beginning of the Covid Pandemic.  The Operations Committee, working with our Club staff, was able to keep meal prices the same for the past 3 years.  We have come to the point where it is absolutely necessary to raise meal prices.  The Board has approved a meal increase beginning immediately.  All dinner and Sunday lunch prices will go up $1 for adults, and .50 for children.  Breakfast prices will remain the same.

IAN:  Hurricane/Tropical Storm Ian is not expected to make a direct hit on Wrightsville Beach, however, we are still expected to get some high winds and a lot of rain.  All kayaks/sailboats should be tied down.  Also, there are chairs, beach toys, etc. on the porches racks of the first floor.  Unless you are renting a room, you should not leave personal items unless they are secured in your locker.  Please pick up all personal items.  All items left on the porches or in the rack after October 2 will be disposed of.

SHRIMPEROO!  Thanks to all who made reservations for Saturday’s Shrimperoo! We are looking forward to a large crowd to celebrate Labor Day. The food serving line will be open from 6:00-7:30. Bars will be located on both first and second floor porches with free beer and wine for Shrimperoo participants from 6:00-9:00. Thanks once again to the Gray family and Custom Home Family Businesses for sponsoring this party. We could use a few volunteers to man the bars. The more help we have, the less time each voluteer will have to stay. Contact Cher Pridgen at cpridgen654@gmail.com if you are willing to donate an hour or two. No experience required. If you can grab a beer out of the cooler and pour a glass of wine – you are hired!

LONG SLEEVED TEES AND HOODIES: Orders are in and ready to be picked up. Stop by the Club office between 9-6 Saturday through Monday to get your shirts. Next week the hours are 10-3. You can pay or charge to your Club account. Orders that requested shipping will go out after Labor Day.  Shirts not picked up by October 1 will be charged to the member account.

FALL MEAL SCHEDULE: After Labor Day, we will move to our off-season meal schedule. Dinners will be served on Tuesdays and Fridays at 6:00pm. Sunday lunch will be served at 1:00. Please make reservations early. If we don’t have enough reservations, the meal will have to be cancelled. Call all of your friends and come to the Club! Dining room minimums can be used until the end of October.

FALL OFFICE HOURS: The office will be open less hours in the fall. If you call and get the answering machine, leave a message and we’ll return your call. If the answering machine does not pick up, it means the attendant is on the phone and has someone on hold. Give them a few minutes and call back.

FIRST FLOOR HOURS: The first floor will be open approximately 7-7. If you need to get in the first floor before it opens, call the office in advance and get the combination for the oceanside door. If you let yourself in, be sure to turn lights out and lock up when you leave.

REVISED ROOM RATES: Room rates have not changed in several years. The Board has approved a rate increase which will take effect September 30. It has been decided that rooms 1 and 2 will now be charged at the same rate as all other bedrooms with 2 beds and no full baths.

Off-season rates will be:

Rooms 1, 2, 7, 8, 9, 10, 11, 12, 15 $372 member weekly, $59 member nightly

$554 guest weekly, $88 guest nightly

Rooms 5 and 6  $ 473 member weekly, $75 member nightly

$665 guest weekly, $104 guest nightly

Rooms 3, 4, and 14 $580 member weekly, $92 member nightly

$769 guest weekly, $122 guest nightly

On-season rates will be posted on the website next week.

We still have rooms available for rental during the fall season. Many of us think September and October are the most beautiful months of the year at the beach. Come and stay when the beaches are fairly empty, there is very little traffice, and you can get into restaurants without a wait!

ANNUAL MEETING:  The Annual Meeting for Regular Members will be held on Saturday, October 22 at 2:00 at the Club. Please mark your calendars and plan to come. And don’t forget, the deadline for submitting nominations for the Board is September 15. We are looking for someone willing to be Secretary-Treasurer. Please consider volunteering to run for this position!

SHRIMPEROO: The deadline for making reservations for the Shrimperoo is tomorrow (Monday) at 3:00. No reservations will be accepted after that time. An addition to the evening’s festivities ~ live music by Bub White! We all love it when Bub entertains. Free beer and wine for Shrimperoo participants. PARTIES! Would you like to have a holiday party, but don’t want to worry about cleaning your house or cooking? Schedule a party at the Hanover Seaside Club! The Club is always decorated beautifully for Christmas and Garrett has a variety of menu options for parties. From small, intimate gatherings to large parties – we can help you plan the perfect get together. We schedule parties all year long, so consider us for birthdays, anniversaries, etc.

SNACK BAR: On days when we have rainy weather, the snack bar may not open, or may close early. The decision is made based on the number of members/guests on site. If you are planning to come down for lunch on a gloomy day, call the Club office to check hours for the day.

ACCOUNTS: If you have charged dining room meals, snack bar lunches, or merchandise to your member account, please pay your bills. You can check your balance online or by calling the office. Payments can be made online, by calling the front office, or by mailing a check to the PO Box.

All tees, ladies and unisex, are 25% off!  We have the following stock ready for you. If you would like to reserve a tee, call the office and they will pull it and charge it to your account. First come, first served.

Ladies cut – these tees are fitted and look great for those of you who don’t like the boxier unisex tees. They run very small, so choose 2 sizes above your normal size. Small – XLarge = $15, 2XL = $16.50

Small – 4 aqua, 5 berry  Medium – 1 aqua, 15 berry  Large – 7 berry

XLarge – 10 aqua, 9 berry  2XLarge – 3 berry, 8 aqua

Unisex – these tees fit fairly true to size, but if you like a baggier fit, choose one size up. Small – XLarge = $15, 2XLarge = $16.50, 3XL = $18. We don’t have any smaller sizes and will not place another order until spring.

AUGUST 13 PARTY ON THE PORCH: We had a very large crowd for our August Party on the Porch sponsored by the Edwards family and Atlantic Appliance. It was a perfect night for a porch party. Thanks to everyone who came and especially to those who volunteered!
