UPCOMING MENUS: Our Mother’s Day Buffet filled completely. This is the only Sunday lunch for May. Sunday lunches were offered several times, but we were forced to cancel due to lack of reservations. From now until Memorial Day weekend, Friday night dinner is the only meal on the schedule.

Friday, May 14 – Shrimp with Feta or Chicken Paprikash

Friday, May 21 – Fried Flounder or Fried Shrimp

Friday, May 28 – Prime Rib and Chipotle Citrus Shrimp

The regular summer meal schedule will begin with breakfast on Saturday, May 29. A full breakfast will be served Monday through Saturday. Dinner will be served Monday, Tuesday, Thursday, and Friday. Since the kitchen is used to prepare meals for the snack bar, no Sunday lunch will be served. Pricing remains the same as 2020. Dinner menus will be posted at least a week in advance to give members the opportunity to make reservations for their favorite meals.

SNACK BAR: How many of you have been anxiously waiting for a good old HSC Cheeseburger or Club Sandwich? Since Memorial Day is so late this year, we decided to open the Snack Bar for the weekend only a week early. Be sure to come to the beach on May 22 and 23 from 11-4 and order lunch! This year we are adding a Chef Salad to the menu for those of you who would like to have a lighter lunch.

Normal Snack Bar Hours – beginning May 29 – are Tuesday through Friday, 11-2. Saturday and Sunday, 11-4. Like last year, all food will be cooked in the kitchen. On weekends, the downstairs snack bar will be open to purchase snacks, drinks, ice cream, tee shirts and other merchandise from 11-4. On Tuesday through Friday, you can order snacks, drinks, and ice cream online or by calling the office and someone will bring it down to you.

If you have not used our online ordering system, you are really missing out! You can order from your beach chair, walk up and your food will be delivered on the first-floor porch. So fast and easy! You must be registered at www.hanoverseaside.club in order to use online ordering. Call the Club office if you need help registering.

ROOM RESERVATIONS: Don’t forget . . . ROOM RESERVATION PAYMENT IS DUE BY FRIDAY, MAY 21. You can pay online, by check, or by calling the Club office. We are understaffed at the moment, so you may have to leave a message for someone to return your call.

Call quickly! We have the best deal on Wrightsville Beach. Remember, you can rent rooms for guests even if you are not staying at the same time. Just make sure they understand the rules. Room payment must come from members.

WORKDAY: Thanks to all who turned out for our Workday last Saturday, May 1. We had a great response and were able to complete many of our projects – from laying mulch, to trimming bushes, hammering nails, removing rotted wood, etc. I do not have a list of volunteers, but you know who you are. We appreciate you!!!!

SEASON OPENING LETTER: The season opening letters containing parking stickers have not gone out yet. We are working to get them out as quickly as possible.

NEW TEE SHIRT DESIGN: We are extremely excited about our new tee shirt design. Special thanks to member Liz Sullivan of Insight Creative who designed the tee for us. You might remember that Liz’s husband, Scott, designed our duplex at 605 S. Lumina. What a talented and giving family! We are lucky to have them. Those members who are on Facebook had the opportunity to vote for colors. Tees will be printed on five colors for adults – blue, green, grey, white, and navy. This year’s shirts are an incredibly soft, comfy triblend fabric that we feel sure members will love. We hope to get the order in this week. Shirts, and other merchandise, will be available in the snack bar on weekends, and the office at other times. We will have a limited number of each size/color available, so be sure to get your shirt early. Since there isn’t generally much interest in youth and toddler sizers, we are only ordering one or two of each size in blue and white. We can place another order, if necessary.

COVID UPDATE: The Covid Taskforce met on Sunday, May 2, 2021 to update the HSC Policy following the Governor’s Executive Order which went into effect on Friday, April 30 at 5:00pm. The Taskforce unanimously agreed to the following:

Henceforth, unless future developments dictate, the HSC Covid Policy will be the guidelines set forth by the Governor’s current executive order regarding Face Coverings, Meeting Spaces and Reception Venues, Restaurants, and Mass Gathering, and other future Section of Executive Orders that may apply to the Hanover Seaside Club. This policy means that any restrictions currently in place that are more restrictive than those set forth by the Governor are repealed.

A few of the changes:

  1. No masks are required outside anywhere on Club property. This includes parking lots, walkways, porches, sound side, etc. We discourage members and their guests from congregating in areas (like the boardwalk to the beach) that can easily get crowded, forcing people to be in close proximity.
  2. There is no limit on the number of people who can sit together, at one table, in the dining room.
  3. Guest are allowed, and guest passes will be sold on weekdays and weekends – except on holidays and days listed in the Rules and Opening letter.
  4. Members staying on the 3rd floor may have guests. Guests must be checked in through the office and must wear masks inside the building.

The following rules remain in effect:

  1. Masks must be worn at all times inside the building except when sitting and actively eating/drinking.
  2. Only guests of those staying on the 3rd floor are allowing on the floor, including porches.
  3. Unvaccinated members and their guests should socially distance from others not in their household.

For those interested in reading the Governor’s Executive Order, it is linked HERE for you. Areas that are necessary for the HSC to follow are highlighted in yellow.

We have had several questions concerning limitation on numbers in our dining room and booking parties and events for the summer and fall. While the Governor’s Order states that indoor restaurants can be at 75% (which for us would be around 80 people) the Order also states that tables must be 6 feet apart. When putting our tables at the required distance, we can seat approximately 55-60 people, depending upon size of tables. Also, while mass gatherings have been increased to 100 inside, there are other provisions that we must follow. Our dining room, when used for private parties, falls under the same category as Meeting Spaces, Convention Centers, and Reception Venues. The rules for these spaces are as follows:

  1. Guests must Be Seated. To limit the degree to which Guests at the facility may come into contact with one another and spread COVID-19, a facility covered by this Subsection is closed unless it is or becomes a seated establishment for Guests. Guests must be in seats except to pay, enter, leave, use amenities, visit the restroom, and obtain food or drink.
  2. Capacity Restrictions. While this Executive Order is in effect, all open facilities covered by this Subsection must limit Guests in indoor and outdoor seating areas to Emergency Maximum Occupancy. Under this Executive Order, the Emergency Maximum Occupancy for a facility is the lowest number produced by applying the following tests: 1. Overall. The facility must limit Guests to fifty percent (50%) of the stated fire capacity for each indoor and outdoor space controlled by the facility. For rooms or spaces without a stated fire capacity, the limit on Guests is twelve (12) per one thousand (1000) square feet, rounded up.
  3. Social Distancing Required. The facility must limit the number of Guests in the space so that groups can stay six (6) feet apart.

This means, that if we book a party in our facility, the party would be limited to about 55 guests, the guests must wear masks except when eating/drinking, and guests must remain seated at their table nearly 100% of the time. Guests could not mingle/interact with others outside of their household. Since this would be impossible to enforce, the Covid Committee has determined that we will not book parties until current Orders, in effect until June 1, are changed.

The Governor has stated that he would like to further reduce restrictions for the summer, but the way for that to happen is for more adults to be vaccinated. His goal is that 66% of adults have at least one vaccine before opening our state further. Our Club is a family club, and the Covid Committee feels that it is our responsibility to protect all members and their guests. We encourage all adults to get the Covid-19 vaccine if they have not done so. Getting vaccinated protects you, your family, your Club friends, and will allow us to remove the restrictions so that we can enjoy a happy, healthy summer at our Club and Summer Home.

MOTHER’S DAY BUFFET: Mother’s Day is just a few days away. Garrett, our Food Services Manager, has planned an amazing menu to celebrate our Mothers. Call as quickly as possible to secure your reservation for either the 11:30 or 1:30 seating. You may eat in the dining room or have a meal to go. Right now, Sunday’s forecast is lots of sunshine and 80 degrees! Sounds like a perfect gift to our mothers!

OBITUARIES: We are sad to announce that two of our long-time Club members have passed away. Please keep their friends and families in your thoughts and prayers. We will miss these two women who were such an active part of our Club. If you click on their name, you can see their complete obituary.

605 S. LUMINA: The 605 S. Lumina Committee and Interior Design Committee are busy purchasing last minute items to make our rental property the best on Wrightsville Beach. We think you will be as pleased as we are when you tour the units during the Open House on May 22 between 10-2. We know that many of you have probably read more books and put together more puzzles in the last 12 months that you have in any year of your lives! If you have books and puzzles in excellent condition that you would like to donate, we will place a few in each of our rental units. We will accept either hardback or paperback books – but preferably not books that were in your beach bag when that rogue wave snuck up and drowned the contents. And please, no puzzles that are missing pieces. We don’t want puzzle rage from our renters!

WORKDAY: A Member Work Day will be held Saturday, May 1 from 8-12. Please come help us get your Club ready for the season. We need helpers to work with small, easy repair jobs and minor landscaping. Bring yard tools, small hand tools, and anything else you have that might work. We appreciate our members who volunteer their time to help with our facility.

MASK MANDATE: The CDC has determined that masks are no longer needed outside when fully vaccinated people gather. Governor Roy Cooper adjusted the Executive Orders so that masks are no longer required outside. For unvaccinated people who can not remain 6 feet apart, masks are recommended. Beginning at 5:00 Friday, the Hanover Seaside Club will no longer require masks outside on porches, walkways, parking lots, etc. When entering the building, masks MUST be worn at all times except when sitting and actively eating/drinking. The Covid Committee will be meeting in a few days to discuss other ways the new Executive Order may affect Club operations.

ROOM RESERVATIONS: E-mails which include room/week assignments have been sent out to all members who reserved rooms. If you did not receive an e-mail, please call the Club office between 10-2. You may pay online at www.hanoverseaside.club. You must register for the new site to access your statement and pay online. The front desk can help you get registered. You may also pay by calling with a credit card number or mailing a check to our PO Box. All room payments must be paid by the member no later than Friday, May 21.

Rooms are still available many weeks during the summer. To reserve a room, call the front office (910-256-2726) between 10-2.

CLUB STAFF: Our search for a Club Manager and other staff continues. If you know of anyone looking for employment, please see the previous blogs for links to job descriptions and application. We still need a Manager, servers/snack bar workers, parking lot attendant, front desk attendant, and security attendant!

WELOME TO LIBIT GLENN:

Elizabeth “Libit” Glenn has agreed to stay at the Club for the month of May while we interview candidates for the Manager’s position.  After Peter resigned, we decided to ask Libit to stay because she has an effervescent personality and has never met a stranger.

Libit is a native of Winston-Salem. She is retired, is very active in her Church, works with the Methodist Woman, and volunteers with a local community garden to help supply food to those in need.

She loves the beach and is always willing to accompany friends who might want to travel there for a week or a weekend. Please keep in mind that she is NOT an employee. Her ‘job’ will be to unlock the building in the morning, lock the doors at night, and be available overnight in case of emergency. If she helps out, it will be because that is who Libit is. She’ll reside in the Manager’s apartment. During the day she has been instructed to enjoy the beach, walk the loop, shop at the Assistance League Thrift Store, sit on the porch to relax and generally enjoy herself. If you see her, please introduce yourself and make her feel

PARKING STICKERS/GUEST PASSES: Season opening letters, including new parking stickers, will be mailed within 2 weeks. When you receive your stickers, please affix them to your cars immediately. As in the past, a single person will receive one sticker, a family with multiple vehicles will receive 2. If you are single and have two cars registered in your name, you can get a 2nd sticker at the Club office. Families receive a maximum of 2 stickers. If you have more licensed drivers, anyone without a sticker can get a day pass in the office at no change. This must be done daily.

We are having increasing problems with unauthorized vehicles in our parking lot, and nonmembers using our facility. To combat this problem, our first goal is to monitor the parking lot stringently. All cars in our lot MUST have either a current parking sticker OR a Guest Pass at all times. Towing will be strictly enforced! If any car is found in the lot during office hours (summer season 10-6) without a sticker or guest pass, the car will be towed at the owner’s expense. Guest passes can be purchased for $10 per day from the office. After 4:00, there will be no charge for passes, but a pass must be picked up from the office and placed in the car. If the office is closed, please write a note with the member’s name and guest’s name on a sheet of paper and place it on your windshield so we will know who cars belong to. Any unidentified cars WILL BE TOWED.

LOCKERS: Small lockers in the snack bar area are ready for use after painting during the winter. Be sure to go to the office and pay for your locker prior to putting items in them. Remember, a lock must be on every locker at all times.

MOTHER’S DAY BUFFET: The Mother’s Day Buffet is filling up quickly, so call today for your reservations! We are limited on the number of seats we can have in our dining room but take outs will be available if you would like to eat lunch on a picnic table or one of our beautiful porches.

605 S LUMINA AVENUE:

Thanks to the extremely hard working 605 Committee, our duplex is ahead of schedule and on budget! You can see more interior and exterior pictures at www.seascapevacationhomes.com. Furniture has not arrived, but should be in place in a couple of weeks. We will begin renting the units Memorial Day weekend.  Rentals have really picked up! If you know anyone interested, they should reserve quickly.

We would like to invite members to an OPEN HOUSE, Saturday, May 22 from 10-2. You will be able to tour the completed duplex. Everyone must wear a mask when entering the building. The number of members allowed inside at one time will be restricted; therefore,  we ask that members not congregate and socialize inside to allow more members to view the duplex.  We think you are going to be impressed with our propeerty!

ROOM RESERVATIONS: The Committee responsible for making room reservations met last weekend. All members who requested rooms for themselves or a guest were given either their first or second choice week, but not necessarily the room requested. Some of the rooms have extremely high request rates, so we do our best to make everyone as happy as possible. Bills will be e-mailed in the near future. You can pay your bill online by going to hanoverseaside.club and logging in. Bills will be available online within the next few days. Click on Statements and you will see your balance. The statement does not show the week/room number of your reservation – only your total. The other information will be in the e-mail you receive. If you have not registered for the new website, please follow these INSTRUCTIONS and register. If you have difficulty, call the Club office, or contact help@hanoverseaside.com for assistance.

NOTE: If a member makes a reservation for a guest, the room must be paid for by the member. We will not accept room payment from guests. However, guest can pay for their meals at check-out.

CLUB REOPENING: The Club will open on Thursday, April 1. If you are interested in an off-season (spring or fall) reservation, call the Club office daily between 10-2. We have already booked quite a few rooms. Be sure to read through the Room Reservation Policy so that you know all the rules for room rentals. A few reminders:

  1. If you are planning a wedding, family reunion, or other gathering, you may only book 11 rooms so that 3 rooms are saved for other members who may want to stay at the same time. Two weeks prior to the event, you may rent any rooms still available.
  2. A member may NOT rent a room in their name and let anyone else stay in the room without them. We often have a waiting list. If you need to cancel your reservation, call the Club office and they will check with the next person on the list. If someone other than the member whose name the reservation is in arrives, they will not be allowed to check in.
  3. Covid restrictions remain in place.
  4. Members and their guests must supply their own pillows, sheets, and towels.
  5. Rooms must be cleaned prior to check out.

DRESSING ROOMS: When the Club opens on April 1, dressing rooms will be available for use. Showers will be available, and cubicles will be open. The center shower in the ladies’ dressing room will remain closed. While masks cannot be worn when showering, they should be worn at all other times while in the dressing rooms. Disinfectant and hand sanitizer will be in each dressing room. Please use the hand sanitizer and spray down areas you touch after showering and using a changing cubicle.

RULES: Please read over the Club Rules before coming to the Club this year. Also, parents please make sure you go over the rules with your children. The most current Rules can be found HERE. We had problems last year with personal belongings being left on the picnic tables and chairs on the first floor. There were often surfboard bags, shoes, shirts, trash, etc. left lying around. This not only looks unsightly, but it prevents members from being able to sit in the chairs and use the tables. Anything found out of place will be taken to the second floor and placed in the Lost and Found. If it continues to be a problem, the member will be contacted.

MASKS: Several members have questioned the policy of wearing masks outside at the Club. While the Covid Committee understands that members want life to get back to normal, they feel it is necessary to follow the most current Executive Orders which went into effect on Friday. The section on masks remains unchanged. The Executive Order states

1.5.General Recommendations. All North Carolinians are strongly encouraged to follow the recommendations for reducing the spread of COVID-19 issued by NCDHHS. These recommendations include the following Recommendations to Promote Social Distancing and Reduce Transmission:

a. Maintain at least six ( 6) feet social distancing from other individuals, with the exception of family or household members.

b. Wear a Face Covering over the nose and mouth when leaving home and wear it inside all public settings such as grocery stores, pharmacies, or other retail or public-serving businesses. A Face Covering should also be worn outdoors when you cannot maintain at least six ( 6) feet distancing from other people with the exception of family or household members.

The first and third floor porches and walkway to the beach do not allow members to consistently remain 6 feet apart. It is the Covid Committee’s hope that as more North Carolinians are vaccinated, our Covid infections will continue to drop, and the Governor will change the mask mandate. Until that time, we will require members (even those who have been fully vaccinated) to wear masks outside from Lumina Avenue to the strand. On the second-floor porch, the main parking lot, and the sound side area, masks must be worn when social distancing (6 feet from those who do not live in your household) cannot be accomplished. The only exception to the outside mask rule is when members are actively eating or drinking.

PARKING STICKERS: Parking stickers will be mailed to all members in early May. The current stickers are good until May 28. Each family will receive a maximum of 2 stickers, one primary and one secondary. Only the primary sticker will be allowed in the lot on certain days which will be announced in advance. Each single member will be given one sticker. If a single person has more than one car registered in their name, they can request a second sticker at the office. A member may NOT share a parking sticker with any non-member. This is grounds for disciplinary action. If a family has more than 2 vehicles registered to them, a guest pass can be picked up in the office, at no charge, for cars without stickers. Passes are only good for one day and will not be provided on holidays.

GUEST PASSES: Members may bring guests to the Club this year. However, guest passes will only be sold on weekdays. On weekends, no guest passes will be allowed. Beginning May 28, guest passes will be sold in the office ($10 per day) weekdays until 4:00pm. Passes are not required after 4:00.

605 S. Lumina: We are happy to announce that 605 S. Lumina continues to be on schedule and on budget. In fact, it now looks as though we will be able to rent the duplex a month earlier than expected. When members rent the duplex, you will be allowed the same privilege as those renting rooms on the 3rd floor. To eat meals in the dining room, you must call in advance to make reservations. Guests renting the duplex will not be allowed to use any of the Club facilities without a member with them. 605 S. Lumina is being managed by Sea Scape Properties. Our units are Seaside Unit A (second floor) and Seaside Unit B (first floor). The rental fees are based on a sliding scale with peak weeks more expensive than less busy weeks. Members are not given a discount on rental fees. As the units are completed and furnished, we will post pictures and they will appear on our Sea Scape listings. There will also be an Open House to allow members to tour the duplex. We are planning the open House for Saturday, May 22, but that is subject to change. More information will be provided in May.

You can also save credit/debit card information to make payment faster in the future. Linked are videos showing the steps to follow to pay online. APRIL MEAL SERVICE: We will begin serving meals on Friday, April 2. For the month of April, we will serve on Friday evenings and Sunday lunch. You must call ahead to make reservations and provide your entree of choice. For Friday evening, reservations must be made by 4:00pm on Thursday. Sunday reservations must be made by 10:00am on Saturday. Remember, if you bring guests, the member must pay for all meals.

Seating in the dining room is limited due to Covid-19 restrictions, so call early for reservations. Take outs are available for any meal served.

OFF SEASON ROOM RENTALS: We are now accepting room reservations for spring and fall rentals. Call you the Club office to make your reservations. All rental fees must be paid at the time of reservation. If the room is cancelled at least 3 weeks prior to move-in, a full refund will be provided. If rooms are cancelled within the 3-week window, refunds will be provided IF the room is re-rented, OR if there is an emergency approved by the Board. Any member renting a room for a guest must pay room rental fees. All 3rd floor residents are responsible for purchasing meals served during their stay. If a resident moves in on Friday, they do NOT have to pay for Friday dinner, but may if they choose to. Reservations must be called in by Thursday at 4:00pm. Anyone who stays on Saturday night is responsible for Sunday lunch. Reservations will be made at check in. Take outs can be provided if requested in advance. These meals will be charged whether eaten or not. Members and guests will pay for their meals at check-out. This is the only time money is accepted from guests.

FIRST FLOOR OPEN: The first floor has reopened! Bathrooms are available during daylight hours. For now, dressing rooms and showers remain closed. The Covid Committee will revisit the dressing room/shower ruling later this spring. The 2nd floor is open from 10-2 daily until the Club reopens on April 1.

EASTER BUFFET: Two seatings will be offered for the Easter Buffet on April 4 – 11:30 and 1:30. When you call to make reservations, you will be given a time to arrive. Arrival times will be staggered so that there is less chance of congregating in the hallway. Please note the marks on the floor and keep your family groups well away from other people waiting in line. Table size is limited to 10 people per table. Remember, you MUST mask at all times when inside except when actively eating. If you leave your table for any reason, you must wear your mask. When you have finished eating, please put your mask on. Especially if you are in the first seating, please go to the porch with your group when everyone has finished their meal so that the staff can prepare for the second seating. We aren’t going to rush you out of the door, but we do need time to prepare the dining room for the second seating. Menu: Honey glazed ham or fried flounder, squash casserole, spiced roasted carrots, mashed potatoes, mac and cheese, grilled asparagus, vegetable medley, vegetable soup, carrot cake. When you call for reservation, you will state your preference of entree. This worked well for us last year and allowed us to save money on food cost and reduce waste in the dining room.

ROOM RESERVATIONS: It’s almost time to mail your room reservations. Member’s reservations can be mailed beginning on March 22 with guests following on March 29. Be sure to follow directions EXACTLY. CLUB REOPENING: The Club will open on Thursday, April 1. Our first spring meal will be served on Friday, April 2. Meals will be served on Friday evening and Sunday lunch. Menus will be posted soon. The number of spaces available in the dining room is still limited by the Governor’s Executive Orders; however, take-outs will be available for every meal.

COVID REGULATIONS: The Covid Task Force is meeting on a regular basis to make sure that we reopen as safely as possible while giving the members as much use of the Club as possible. We are following all Governor’s Executive Orders and CDC guidelines. For now, we require that all members 5 and above wear face coverings over their mouth and nose when outside between Lumina Avenue and the strand, and always mask while inside and not actively eating. On the 2nd floor porch, if there is at least 6 feet between you and other non-household members, you can remove your mask but must keep it handy. If other people come onto the porch closer than 6 feet, put your mask on. On the first and 3rd floor porches, there is not adequate space for people to walk without breaching the 6-foot barrier; therefore, you must always wear a mask. In the main parking lot and at the sound side pier, you do not have to mask if you can maintain 6 feet of social distancing. If you are within 6 feet of a non-household member, wear your mask. If a member or guest refuses to wear a mask, they will be asked to leave the premises. Disinfecting solution and alcohol handwash will be located in several places around the Club. Please use them often!

Guests are allowed on weekdays, except holidays. No guests will be allowed on weekends. During the summer season, guest passes will be available at $10/day on weekdays, excluding holidays. Family members who do not have a sticker can get a pass in the office at no charge. They may be required to show Identification, so be sure to have a driver’s license available.

DISCIPLINE: The penalty for failing to wear masks, not following Covid guidelines, or breaking other General Rules remains the same as last year. This pertains to children and well as adults. Parents, it is your responsibility to ensure that your children and guests obey all rules of the Club.

Progressive Discipline Plan approved by the Board:

  • First offense – Personal phone call from the manager – verbal reprimand.
  • Second offense – Letter from the House Committee Chair noting the reported offense and stating that if there is a third offense of any type, disciplinary action up to and including a fine or suspension of membership could occur.
  • Third offense – Membership suspended. Member not allowed to use Club facilities for 7 days
  • Fourth offense – Membership suspended. Member not allowed to use Club facilities for 30 days + $100 fine
  • Fifth offense – Membership suspended for the remainder of the fiscal year (October 31)
  • Final offense –If member/family member comes onto Club property while suspended, membership will be terminated.

SEASON OPENING LETTER: The Season Opening Letter will be mailed to all members around the first of May. The letter will contain information for obtaining boat stickers and paying for lockers. The letter will also contain your parking stickers for 2021. Stickers must be in place on your vehicle by May 28. Please make sure that the Club has your current mailing address so that you receive all information and your stickers.

605 LUMINA AVENUE NEWS: Construction on the duplex at 605 S. Lumina is moving forward. We are on schedule and on budget at this point. Seascape Properties will be handling the rental of our property. Our units are Seaside Units A and B. currently, the website shows no availability until the first of July. We hope to have it ready to rent earlier which will result in more availability. There is no discount for members renting the duplex. We need full rental fees to meet our debt obligation. Members of the Hanover Seaside Club who rent the duplex will, of course, have full use of the Club. More information will follow. Pictures on the website will be updated as the units are furnished and decorated.

News – February 28, 2021

ROOM RESERVATIONS: The Room Reservation Information Letter and Room Reservation Form have been updated and placed on the website under Quick Links. Please read the letter carefully as there have been some changes this year. The letter is two pages long and includes Covid information for residents renting rooms. While the Covid numbers are trending in the right direction, the Governor’s Executive Orders and CDC guidelines have not changed significantly since we closed; therefore, we will be starting the season much as we ended last year. When it is safe to do so, we will alter our guidelines. Be sure to check the blog and read e-mails sent to you so that you can stay abreast of the changes.

This year we will go back to a 7-night rental. To make that happen, we are moving check-out time to 10:00am to give the cleaning contractor plenty of time to clean the 3rd floor. It is imperative that the entire 3rd floor be empty by 10:00am, so we will change a $50/hour late fee for any resident checking out after 10:00. If Covid numbers start increasing or we have problems with the turn-around time, it is possible that we may have to go back to a 6-night stay. We hope that will not be the case. You can help insure a 7-night stay by emptying your trash cans, wiping all surfaces, cleaning your bathroom, and sweeping well.

If a member rents a room for a guest, the member must pay the rental fee when billed. All room rental payment must come from a member. However, when the guest checks out, they may pay for their meals.

Remember – residents must now bring their own sheets, towels, AND pillows! Mattress pads are washed weekly.

A few hints to insure you get the room of your choice the week of your choice:

1.     Member requests may be mailed beginning March 22, with guest requests to follow on March 29

2.     If you want to request 2 weeks, you must complete 2 forms. Be sure to note if the weeks must be consecutive.

3.     The forms must be mailed to the PO Box – you may NOT drop them by the office – and the postmark is used when assigning rooms

4.     All dues and any other outstanding fees MUST BE PAID in full to request a room

5.     If you want to request a room for a guest or want several rooms the same week for your family/friends, choose a week in very early June or later August to have the best chance of getting your request. From early-June through mid-August, nearly all rooms are needed for members and it is difficult to keep large groups together.

6.     Every year there are several weeks that have WAY more requests than we have rooms. For one week in July last year, there were 28 requests for 14 rooms. It helps tremendously if you can provide an alternate week. The committee who assigns rooms works extremely hard to help all our members have the vacation they desire. By providing an alternate week, you have a better chance of having your request granted. If you are not able to provide an alternate due to work, school, or family responsibilities, please note that on your form.

7.     You may NOT request a room under your membership but allow a non-member to occupy the room without you. For example, you cannot rent a room and give it to your adult child who is not a member. They can stay with you, but you must also occupy the room.

8.     Room assignments are made based on the number of people sharing a room and the need for a full bath. There are only 2 large rooms (3 double beds), and 3 rooms with full baths. The room selection committee tries to be fair and meet the needs of all members. Be sure to state the names and ages of all members and guests who will occupy a room to make it easier for us to do our job.

9.     Members ALWAYS receive priority over guests when scheduling rooms

10. Be sure to pay for your room by the due date (May 21) or you could lose your reservation

11. If you reserve and pay for your room then need to cancel, you will receive a full refund if you cancel at least 3 weeks before move-in date or your room is re-rented. In an emergency, the Board can approve a refund if less than 3 weeks are given, but the member must make a request in writing.

CLUB OPENING: The Club will open on Thursday, April 1. Room reservations can be made now for off-season stays beginning on or after April 1. Meals will be served on Friday evening and Sunday lunch beginning on Friday, April 2. Our Easter Buffet will be held on Sunday, April 4. There will  be 2 seatings – 11:30 and 1:30. Entry times will be staggered to ensure that we do not have too many people gathering in the hallway. Be sure to arrive at the time you are given when you make reservations. Menu and more information will be provided in the next week or two.

PRIVATE PARTIES: The latest Governor’s Executive Order allows groups of 25 or less to meet indoors. The Club will immediately begin taking reservations from members for gatherings of no more than 25 people beginning April 1. While guests may attend member parties, NO GUEST SPONSORED EVENTS will be scheduled at this time. Also, no parties larger than 25 will be scheduled either indoors or outdoors.

To schedule a party, the member must complete a party contract and agree that:

1. The Guest List with phone numbers and email addresses must be submitted to the Club Manager 24 hours prior to the scheduled event.

2. This reservation will only be honored if, at the scheduled event date, the Governor’s current Executive Order allows groups no larger than 25 to gather in indoor spaces.

3. During the gathering, guests will be required to “social distance” and wear a face covering at all times except when seated at their assigned table AND actively eating or drinking.

As Executive Orders allow, we will begin to schedule larger events. To schedule a party, call the Club Office to make an appointment to complete your contract and pay the non-refundable deposit. Be sure to read the Party Policy which is on the Quick Links page.

FIRST FLOOR REOPENING: As we advised weeks ago, the first floor has been winterized and will remain closed until the threat of freezing is past. Sometimes that’s hard to understand when we have sunny, 75 degree or warmer days. The process of winterizing the first floor is time consuming. It is not something that can be done every time the weather changes. The first floor will be open no later than April 1. If it can open earlier, we will let you know. Until then, the bathrooms on the 2nd floor are available daily from 10-2.

CLUB CLOSING

The Club will be closed until at least Monday, February 8.

The first floor will remain open during daylight hours. The 2nd and 3rd

floors are closed to all members and visitors.

The telephone in the office will be manned daily from 10-2.

We will advise if chages in this schedule are necessary.
